Incumbent works under Administrative Assistant and is responsible for maintaining office goals and objectives.
DUTIES:
Prepare daily deposit for Parks Office and Riley Home/ run morning reports.
Answer telephone, greet and answer customer questions.
Collect and receipt monies from program fee.
Typing of forms and letters and filing.
Facilitate reservations for all facilities and scheduling all facilities for park program and activities.
Taking registrations online, manually or by phone for all Parks and Recreation programs.
Prepare and assist with administrative reports.
Must be available to assist in special events and programs throughout the year.
This can include, but is not limited to summer concerts, movies, Trunk or Treat, Turkey Day 5K, winter activities, etc.
Assist with and complete special projects as assigned.
Assume other responsibilities as assigned.
Schedule rental dates/times for the Elmore Center, Shelter House, 'Lizabeth Anne's Kitchen, Riley Park Pavilion, East Pavilion and Beckenholdt Park Pavilion.
Issue Rovers Run membership passes, send out monthly renewal letters to expiring members.
Enter gate access cards and memberships in Rovers Run Laptop monthly.
JOB REQUIREMENTS:
Working knowledge of department policies and procedures and standard office practices, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
Working knowledge of standard bookkeeping principles and ability to make simple arithmetic calculations and maintain accurate records.
Ability to operate various office equipment, including computer, printer, copier, fax machine, calculator and telephone.
Working knowledge of English grammar, spelling and punctuation, and ability to type with speed and accuracy and prepare various documents as assigned.
Ability to understand and follow oral and written instructions, and work alone and with others and in a team environment with minimum supervision.
Ability to effectively communicate orally and in writing with co-workers, other City departments and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distraction and interruptions.
Must have advanced knowledge with computers and money handling.
Advanced knowledge of best customer services practices and secretarial skills such as typing, filing, bookkeeping and public relations in regards to inter office and/or in person or over the phone interactions.
Experience with special event coordination is preferred.
DIFFICULTY OF WORK:
Incumbent performs duties in a standard office environment involving close vision, keyboarding, lifting and carrying objects weighing less than 25 pounds, hearing sound/communication, and sitting and walking at will.
Incumbent occasionally works extended hours.
RESPONSIBILITY:
Incumbent performs according to standard practice of the professional field.
Incumbent receives general supervision and discusses with Administrative Assistant unusual /unprecedented situations.
Incumbent's work is reviewed primarily for attainment of department goals and objectives.
PERSONAL WORK RELATIONSHIPS; Incumbents maintains frequent contact with co-workers, other City departments, other recreation organizations, program participants, local school corporation, national associations, and the public for purpose of exchanging information, explaining/interpreting policies and procedures, coordinating program activities, and supervising and directing personnel.
Qualifications:
Education - A minimum of a High School diploma or equivalent documentation of a GED.
